Policy with respect to the processing of personal data

A. Members

Your “personal data”

1. The only “personal data” of yours that is kept by the committee of the Basildonians is your name, postal address, telephone number and e-mail address and such (if any) information you may have wished to provide as to your willingness to participate in activities.

2. Your “personal data” is controlled by the committee of the Basildonians for the time being. It is held in the form of an Excel spreadsheet kept off-line on the Treasurer’s personal computer. It is accessible only to the Treasurer and (where directed by the committee) such members of the committee as may need access for lawful use.

4. Your “personal data” is only kept, and will be used only, for the purposes of complying with the committee‘s obligations to you as a member of the Basildonians or for the legitimate interests of the Basildonians which include:

(i) giving you notices that you are entitled to receive, giving notice of meetings, of activities organised by the committee, and of forthcoming events to be organised by the committee;

(ii) inviting you to participate in any activity organised by the committee;

(iii) publishing any review of your participation in any activity;

(iv) complying with any legal requirement otherwise imposed on the Basildonians.

5. The only recipients or categories of recipients of your “personal data”, if any, will be:

(i) other members needing or entitled to know it for any of the purposes described in 4 above;

(ii) non-members to whom it needs to be communicated:

(a) as required by law;

(b) to the extent that the legitimate interests of the Basildonians require it;

(c) where the protection of your, or another person’s, “vital interests” require that it be communicated without your consent.

Except as above, it will not be disclosed to any other person without your consent.

6. Your personal data will be kept for as long as you remain a member.

7. You have the right to request access to, and to rectify, your “personal data” and, so far as processing it requires your consent, to erase it, or object to the use of it, or to require that it is transferred to another controller.

8. So far as your consent is required to any form of processing of your “personal data”, you have the right to withdraw your consent at any time.

9. You have the right to lodge a complaint with the Information Commissioner (www.ico.org.uk ) ; Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF) in the case of any misuse of your “personal data”.

B. Non-members

Your “personal data”

1. The only “personal data” of yours that is kept by the committee of the Basildonians is such of your name, postal address, telephone number and e-mail address that you may have provided, and such (if any) information you may have wished to provide as to your willingness to receive notice of any future performances.

2. Your “personal data” is controlled by the committee of the Basildonians for the time being. It is held in the form of an Excel spreadsheet kept off-line on the Treasurer’s personal computer. It is accessible only to the Treasurer and (where directed by the committee) such members of the committee as may need access for lawful use.

4. Your “personal data” is only kept, and will be used only:

(i) for the purposes of complying with the Basildonians’ obligations to you as the buyer of a ticket or

(ii) for the protection of the legitimate interests of the Basildonians or

(iii) for compliance with any legal requirement imposed on the Basildonians or

(iv) with your consent, for giving you advance notice of any future production.

5. The only recipients or categories of recipients of your “personal data”, if any, will be persons needing or entitled to know it for any of the purposes described in 4 above. It will not be disclosed to any other person without your consent except where the protection of your, or another person’s, “vital interests” require that it be communicated without your consent.

6. Your personal data will be kept until you request that it be deleted.
